How To – Outlook
Empty or Decrease Outlook Storage when full
1. Open Outlook app
2. Go to File > Account Settings > Access this account on the web.

3. After directed to Outlook web click on Settings (Gear icon) on top right.
4. On Settings menu select Account > Storage. If it shows message “You’re running out of storage” select “Go to storage settings” button.
5. Select the folder that consume highest storage such as Inbox and select Empty to desired time range (6 months / 12 months) then click ok when asked for confirmation. The process will run and take times depends on the folder size. Repeat if you have other folder with big size.
6. go back to Outlook File > Account Settings > Account Settings.
7. double click on your email address on Email Accounts, it will open Exchange Account Settings. Then click “more settings” button.
8. On Microsoft Exchange Window select “Advanced” tab
9. Click Outlook Data File Settings button and select “Compact Now”.
10. Go to File Explorer and follow address below to find the OST file. The file size should be reduced in process.
C:\Users\(Your Name)\AppData\Local\Microsoft\Outlook
11. Back to Outlook desktop then on Microsoft Exchange click Apply > Ok
12. Back to Outlook web and see the storage reduced process. Repeat the process if the folder size is still too big. The actual deletion may takes time up to 1-2 days.
13. If the storage is still big, repeat from step 7 to the rest of the guides.
